Why share an inspection?
On a larger job it is rarely one person who checks everything. The electrician takes their points, plumbing takes theirs, and the site manager reviews the whole before approving. On paper that means three forms to be merged afterwards — or one form passed around that nobody can locate.
Same in an operations team: daily checks are done by whoever is on site, while measurements are filled in by the technician on the weekly visit. The inspection is shared, but the contributions are spread across time and people.
How do you know who did what?
Every completed line gets its own stamp: name, date and exact time. It sits directly under the item in the checklist, and carries through to the signed PDF. No merging afterwards, no guessing who wrote what.
That is also the detail that makes a shared inspection auditable. In a dispute the question is rarely "was the inspection done?" but "who performed that specific item, and when?".
What if two people fill in at the same time?
Nothing dramatic. Changes merge per field, not per document, and the most recent change to an individual field wins. Two people working in different parts of the same checklist never notice each other — and nobody has their work overwritten because someone else happened to save later.
This works offline too: both can work without coverage, and the merge happens when the devices sync.
Roles: who can approve?
Technicians fill in and sign their items. A manager reviews and approves the whole inspection. An admin owns the templates and decides which items are required. Approval is what locks the record — after that nothing can be changed, only commented on.
Customers filling in themselves
The inspection does not have to stay inside your own team. With the QR label on the machine, a customer can open the right checklist and fill in their part — with no login, if you enable it per site. Their lines are stamped exactly like everyone else’s.

Can customers fill in without an account?
Yes, if you enable it per site. The customer scans the QR label and fills in their part without logging in, with the same per-line stamping.
