Comparing inspection apps without being fooled by the demo

Every demo looks good. What decides after six months is the pricing model, the offline behaviour, and whether the record holds up in an audit. Here are the questions that separate vendors.

TL;DR — Ask every vendor six questions: does the whole flow work offline, does the signature lock, can several people fill in at once, can the log be edited, what does it cost as the team grows, and where is the data stored? The answers differ more than the demos do.

Question 1: What exactly works offline?

Almost everyone says "offline support". Ask what can actually be done with no network: just read the template, or also photograph, sign and complete? And what happens to a half-finished inspection if the app closes before syncing? That is where the differences are.

Question 2: Can the record be changed afterwards?

Ask to see what an administrator can do to an already-approved inspection. If the answer is "change the answer", you have a document management system, not evidence. It should be possible to comment, not to rewrite.

Question 3: Can several people work in the same inspection?

And if so: is it visible who filled in which line? Many systems handle one user per protocol and solve shared work by splitting the inspection into several documents — which moves the merging back to a human.

Question 4: What does the pricing model look like as you grow?

Model twelve months with the team you expect to have then, not the one you have now. Common traps: price per template, price per site, price per report, and modules that unlock things the demo presented as standard.

Question 5: Where is the data stored?

The question is not "are you GDPR compliant" — everyone says yes. The question is which country the servers are in, which sub-processors are used, and whether you get a data processing agreement without having to negotiate for it.

Question 6: What happens if you stop paying?

Do you get your history out, and in what format? Inspections need to be presentable years back, often longer than a vendor relationship lasts.
